The role
The Fidelis Partnership is rapidly expanding into new locations and lines of business, setting up approximately 5 new entities each year. We currently have in excess of 20 monthly payrolls, mainly administered through ADP and an offshore payroll administration team, but with bespoke arrangements in new countries such as use of local bureaus and Employer of Record arrangements.
Due to our growth and the increasing complexity, we require specialist in-house resource to assist HR and Finance in managing our risks, compliance, delivery, and the third-party providers for payroll and employment tax advice.
Key accountabilities
The Employment Tax and Payroll Specialist is responsible for advising the Company on employment taxes, tax compliance, keeping records for employment taxation issues, and delivering accurate and timely pay runs for all locations and subsidiaries within the Group.
Employment Tax
Provide expert advice and guidance on all aspects of employment tax including employee share incentives, international travel & employments, and general employment tax matters.
Ensure the company is compliant on tax and social security across all regions/payrolls
Manage Disclosures and Tax Payments in all locations; preparing and submitting UK, Ireland, Bermuda and Abu Dhabi tax reports/filings (and any other relevant countries as the company expands), liaising with relevant tax authorities and answering queries
Register for employment tax/social security in each location
Keep accurate records on reference numbers and official correspondence
Work with our tax advisors on issues such as business travel, SBTV, S690s, A1s etc
PSA/P11D/P60 and other tax submissions and overseas filings as appropriate.
Deliver PSA and off payroll benefit reporting in all countries
Deal with employment tax queries.
Payroll
Manage pay groups
Manage the payroll providers – ADP, EXL, Expertise, local bureaus, and various disbursement agents
Manage the offshore provider (EXL) to ensure all payroll data is submitted on the ADP portal
Check payroll reports, variance and sign off payrolls (commit)
Define the Payroll process (Continuous Improvement)
Payroll reconciliation
Year-end processing for all countries
Assist with payroll and tax audits (internal and external)
Regular maintenance of the payroll system to maintain data validity and accurate employee records, using scheduled reports to make auditable changes proactively and accurately
Deal with payroll queries.
Skills & experience
Expert knowledge of employment tax in UK and ideally with exposure to Bermuda, Ireland and other relevant locations
Experience of managing multiple and international payrolls in similar organisations
Experience of managing 3rd party providers
Able to work with senior stakeholders and across HR and Finance functions
Relevant professional (tax, accountancy, payroll) qualification(s)
Competent user of payroll systems, ideally ADP Workforce, and Excel
Exceptional attention to detail
Exceptional organisational skills and experience managing conflicting priorities
Resilient, flexible, and quick to adapt
Strong verbal and written communication skills.
Able to work under pressure and to tight deadlines when necessary.
